Poster Presentations

Outcome notifications for abstracts were sent to the submitter at the beginning of June.

Accepted poster presenters will have the opportunity to present and discuss their poster with other attendees during the virtual meeting. Below you will find details on formatting and deadlines.

Instructions for E-Poster Presenters

Deadline for uploading E-Posters: 7 September midnight BST 2020

Presenters will receive a dedicated link to upload their e-posters via email by 10 August.

The WMS 2020 Virtual Congress will have a designated poster session date and time where presenters will be able to share their research and interact with fellow delegates. Congress delegates can view e‑posters at any time during and after the Congress for up to 3 months and may contact the presenters directly via the virtual platform chat function, for questions and further discussions.

A few hours after uploading your file, you can go back and click on the file name link. This will display the converted file in html format, which is how the virtual congress attendees will view it on the virtual platform during the congress.

What will my e-poster look like?
Your poster will be shown in the poster gallery as an image that can be easily enlarged.
Along with your e-poster you may submit an mp3 audio recording. A chat window will be permanently open for every poster where delegates can contact the presenter via group chat visible to all.

Technical specification for e-poster preparation
Please submit your e-poster as a 1-page .PPTX file in landscape orientation. If you wish, you may use a template that can be downloaded HERE . Note that file size should be less than 10MB. When saving your .PPTX file please make sure there are no symbols or characters (i.e. +/-) in the file name. There should be only letters or numbers in the file name. Hyperlinks, animated images, animations and videos are not permitted for e-posters and, if included, will be non-functioning. QR Codes can be included.

Please be sure to include the abstract number associated with your e-poster in the upper left-hand corner of your poster (e.g. P.123).

You will be able to preview your e-Poster within 24 hours after submission by clicking on the e‑Poster Upload button on the bottom left (see print screen below), and then clicking the file to view.

Recording your MP3 audio file for your e-poster
You are encouraged to include a short 3-5-minute audio recording to go along with your e‑poster. For tips on recording your e-poster audio guide, please watch the video below. When saving your .MP3 file please make sure there are no symbols or characters (i.e. +/-) in the file name. There should be only letters or numbers in the file name.

How will networking be organised for my e-poster?
The WMS 2020 Virtual Congress will host four poster sessions on the Thursday, 1 October 2020 grouped according to topics. Authors are requested to remain in attendance “by their poster” during their poster session and be available to answer questions via the poster chat. Presenters are also encouraged to include a URL, linking to their own personal or institutional e-meeting rooms, where they can meet other delegates face to face during breaks etc. Zoom and other e-meeting services offer owners the ability to schedule one time meetings or “ recurring meetings ” with one fixed URL. The presenter takes responsibility for these third-party links and WMS Congress Ltd is unable to monitor them.

E-poster chat
The chat is available at all times, during and after the Congress via the virtual congress platform. Messages in each e-poster chat can be sent in three ways:

1. To ALL participants (RECOMMENDED). Any participant who visits the poster will see the chat in the poster gallery and can send messages and participate in the discussion.

2. To PRESENTER. Here only the poster presenter and the participant corresponding with them will see the chat. However, please note in order for the presenter to see the private chat messages they need to be inside the e-Poster upload area (note this is not in the virtual platform).  The chat window is available from the e-poster upload screen. To see private chat messages from fellow participants and to answer them privately, enter the e-poster upload area using your token and via a different browser or in Incognito mode.

3. To the PRESENTER’S E-MAIL. By clicking the envelope icon delegates can send messages directly to the presenter’s email (not in the platform). Please note by sending an e-mail to author you are providing them with your e-mail address.

How can I secure my e-poster and presentation when it is online?
WMS Congress Ltd enforces a strict zero-tolerance for illegal copying of content presented via the virtual WMS 2020 Virtual Congress platform (see Code of Conduct). Presenters are encouraged to clearly indicate in their presentations that the content presented shall not be shared or copied. Presenters are also strongly advised to secure a Digital Object Identifier (DoI) for their presentation by uploading it to an  open data sharing repository for posters and slides.

Presenters are strongly encouraged to clearly indicate whether or not photography/recording of the poster, presentation and sharing/remixing of the material is permitted. To aid in this process, a digital graphic image may be incorporated in the poster. The images are available here:

Poster Highlights
The Prize Committee will review the E-Poster presentations prior to the virtual congress and we will notify the successful presenters by 17th September 2020. Those presenters will then have a few days only to book a recording session with the technical team. The Poster Highlights session is on Friday, 2 October 2020 15:00-15:45 BST. There will be 6 x 5 minute consecutive pre-recorded presentations followed by 15 minutes live Q&A. The presenter should prepare 3-5 PowerPoint slides (including introduction, main findings, main messages, acknowledgement) to show during the pre-recording and must present data as indicated on the poster.
